Innovative approach to outsourcing inspections   8 replies   5 voices

Hi All.

I am new to this forum and would like to get some opinions on companies that oursource their routine and property condition reports. I know there are a few companies in Perth that are offering this and wondered why the east coast seems so different. I read a discussion from back in 2010 that was mainly the east coast and really got the feeling that all Property Managers do their own.

How do you manage this with your workload? I am literally run off my feet daily and don’t know where I would find the time to set aside 4 hours including travel. Can you let me know your secret? LOL

In Perth we charge the owners for the inspections but again have noticed the east coast include these in a flat rate. How do you work out how much it has coast your office?

It is very interesting and as I am trying to think of how we can change our systems in Perth.

Any suggestions or advice would be greatly appreciated :-)

Welcome to apmasphere Melonie,

You have asked some great questions here, I’m looking forward to some of the responces.

A lot of out members have found that by using our field agent application (available to iPhone devices) to complete their routine inspections have reduced their time taken to complete these significantly because the comprehensive  report can simply be completed at the property and emailed to the owner while still at the property reducing any time back at the office to type and print the report, hence also reducing costs.

Field Agent 2 is due for release shortly and will offer a solution for ingoing and outgoing condition reports.

Hi Melonie,

I have seen a few companies offering inspection services etc.

I strongly believe that such things should be completed by the actual property manager. I would not want to delegate this responsibility to a third party (though I am often called a perfectionist!).

Hi Mel,

I was a Property Manager for years and Routine Inspections and Condition Reports were definately one of the most time consuming activities. Emergency maintenance, or one of our million other tasks always came up at the last minute, leaving you very short on time to complete the tasks.

I am now a provider of the “Outsourced” inspections (amoung other things) mainly in NSW, and I have found that there is more and more interest around here of exploring these outsourcing options.

It’s not a decision to take lightly – you need to be able to trust the person doing the inspection that they are thorough and comprehensive, not only in photos but written advice of maintenance requests & wear & tear on the property. One thing I would recommend to ALL Property Managers is to NEVER outsource your first inspection, or an inspection for a high maintenance tenant/property. And I would never engage anyone who has not been a Property Manager themselves.

There is never a substitute for doing these things yourself, but depending on your work load and your staffing levels, sometimes it is just what you need.

The reason that I started my business was that my old boss in the ACT told me after I left that she started to outsource tasks and found it was a good option for her business at the time. As a Property Manager, I found it difficult to find these service providers & thought it the perfect opportunity to branch out on my own.

The less you are out of the office, the more time you have to concentrate on the one thing most complained about by tenants and investors – direct communication!

Field Agent 2 will be available very soon!! we will be providing updates on this site with accurate dates.

It will be only available for apple devices only like the the current Field Agent application is. If you have access to an iphone, ipad 2 or ipod touch at the moment you should check it out. The current version provides a good solution for completing routine inspections. 

We will explore offering an application for android devices in the future as there sure is a strong demand for this market as well.

Dont forget, there IS a way to have your routine inspection with Field Agent integrated into CONSOLE.  All you do is CC yourself the email you send to the landlord and save the email onto your desktop.  Then go into console and go to the tenant, and add the message as a document into the tenant file.  Simple.  You can open the email from Console and see the inspection letter and pics.

Another way is to just email yourself the inspection report, cut and paste the whole report into an email that you create form console and send to your client….. phew!  how easy!
