How easy was that!!!…. We have just introduced the iPayRent system to our office in the last few weeks.  The ladies at iPayRent (Hania & Katie) are just fantastic and absolutely supportive.  Changing to a whole new system brings with it a whole new lot of learning and explaining to people of what your are doing but these ladies know how to lead you through this in a really easy way.

In no time flat we have had tenants sign up for the system and we have loaded them into the system. Today our first payment appeared on our bank statement so we imported the file to Console - a few clicks later and presto there comes the receipt out of the printer. I can also see pending payments report  in the emails that have come through from iPayRent.

Unreal! I can’t wait to get all of my tenants onto this system. This will cut back on admin time- no more individually processing individual payments (That’s the vision for the future)

Thankyou apmashere—Without your wonderful site it could be very difficult to get such useful info on what is happening in the industry and you may never come across links to other service industries like iPayRent

Thats great to hear Margaret.

Our office is currently considering using iPayRent as well. Do you mind if I ask how many properties you have and how many tenants have signed up with iPayRent?

My principal’s concern is we will spend all this time and money into signing up with it and none of our tenants will want to sign up.

I’m not sure of the exact numbers of existing tenants it just keeps going up every very days. I haven’t spoken to each individual tenant as yet. We sent out a letter to all tenants of the system—Easy to do iPayRent have a standard letter already drafted. I just changed it slightly and sent it out.

2 tenants rang asking what was this all about and when I explained it the said they wanted to leave things as they were. I told them that that would be ok.  They were elderly and I didn’t want to confuse them or upset them.

The tenants that were having trouble getting to the bank and on our arrears list are mainly the ones that jumped at the idea to change over so they are the ones I have been dealing with first.

Then we dealt with the ones that keep coming into the office to pay rent.  I start with… Do you really want to drive all the way from the other side of town to pay rent her or would you like me to organise me to set you up on iPayRent? cause I really don’t want you coming in here to pay rent. I then have an extra job of organising it and taking it to the bank anyway and it becomes a security issue for us as well. You can see the looks on their face that they don’t like it that we tell them that this is causing us issues and they generally want to please so they listen to the iPayRent speal I give them about how good it will be for them and that its great for us too as we don’t have to worry about if they have paid or not because it show on our reports so we don’t have to ring and hassle them when they have already paid .After I explain all the feature they just sign up there and then.

Thirdly we’ve been putting new tenants onto the system as they sign up their lease.  With these new leases we don’t have the payment booklet as an option. The other two options are just netbank tranfer & direct deposit. You could have other ones like money order or bank cheque too. These new tenants were easy to get onto the system as they know about the system straight away and its arranged for them straight away.

Ashlee I don’t visualise that all of the existing tenants are going to jump at the idea of changing over straight away and some may not at all but I don’t want every tenant walking in the do immediately today. Each tenant needs some time to explain the process and set them up on the system so it can’t be done all at once otherwise you are going to end up with overload in this job area of your office and there are heaps of other things to deal with on a daily basis.

It is a priority though and each opportunity we get to take to tenants and owners about they system is good as this educates everyone about it and get them used to the idea.

I visualise it taking some time to gets most people onto the system as some tenants won’t change so it can only be done at the sign up of the new lease for that property.

The other thing I do suppose you have to think about Ashlee is the cliental that you deal with in the area where your office is. Generally speaking what sort of tenants do you have. Do they appear to be up to speed with modern technology? or are they basically cash based? If you are that worried about it maybe do a survey of your tenants and see how many would be willing to use the system. You might be suprised how many of them wished you already had it up in running.

iPayRent only deposits cleared funds into your trust account. This eliminates the issue of tenants depositing cheques into your trust account that are not cleared funds and also funds that may be dishonoured. When someone deposits a cheque into your trust account over the counter you really don’t know if whether they have deposited a cheque or not and if a cheque is deposited it could be dishonoured.

Since it is against the act to disburse uncleared fund out of your trust account allowing tenants to make their own deposits or accepting cheques over the counter can put your trust account at risk.
